Match the invoice to the car being collected

Review the Vehicle step against the car and its records, then read the generated Sales invoice. Pay particular attention when a similar vehicle or a duplicated invoice was used as a starting point.

  • Registration, make and model: confirm they identify this sale, including the derivative and colour where entered.
  • VIN and stock reference: compare them with the relevant records. Do not fill a missing VIN with a placeholder.
  • Mileage: check the figure you intend to record at handover rather than relying on an earlier draft.
  • First registered: use the full known date. DealerSlip accepts a day, month and year; do not invent the day to complete an unknown date.
  • MOT expiry: check the date through your normal vehicle-checking process before entering it.

Confirm the buyer and collection arrangements

Check the name or company and address in Buyer, together with the email and phone number you intend to use. Those details carry through to the connected documents. A typo in the buyer record is repeated across the pack.

In Payment, review the Collection date. Open Invoice details & notes to check the invoice number, invoice date and balance payment method. These are separate details: an invoice date need not describe when the vehicle will actually be collected.

Reconcile the money against evidence

Compare the agreed deal with the recorded vehicle price, extras, part exchange, finance and payments. Click the balance at the bottom of the workspace to see the calculation. Then check the evidence for each amount through your usual systems.

A £0 balance means the entered payments, finance and net part exchange cover the entered sale total. It does not mean DealerSlip has checked your bank or verified the customer's vehicle. Changing the invoice status is also a record-keeping action, not a payment check.

If there is a part exchange, check the incoming car too

Open Price → Part exchange. Compare its registration, make and model, mileage, VIN and stock reference with the car coming in. Confirm the allowance, finance to settle and lender details against the agreed deal.

Use V5C received and Keys & service history to describe what you actually received. Read the seller declaration before using it. Select the Part exchange document tab to confirm the purchase record matches the incoming vehicle, while the Sales invoice still describes the outgoing one.

Read the final documents, not just the form

  1. Check dealership details. Review the business name, address, contact information and logo as printed.
  2. Read the charges. Make sure every extra has a useful description and the total matches the agreed sale.
  3. Review the terms. Check Warranty & terms and Invoice footer in Payment. These should describe the actual agreement, rather than leftover text from a different sale.
  4. Check each available tab. Review Sales invoice, Part exchange when enabled, and Payment receipt when payment lines have been added.
  5. Download and open the PDF. Check the file you intend to share, including all its pages. Keep a copy in your deal records.

Keep the handover record alongside the invoice

Use your normal handover record for matters beyond the invoice: the keys supplied with the outgoing car, documents passed over, agreed collection arrangements and any other checks your process calls for. DealerSlip does not have a separate outgoing-vehicle handover checklist or electronic signing service.

Save the invoice if you need to return to it. Guest work stays in the current browser; signing in opens a separate account workspace, so download anything you need from a guest draft before switching. Keep downloaded documents independently of browser storage.

Common questions

Does downloading the pack mark the deal as paid?

No. Downloading creates the documents from the details entered. Check the money and review the invoice status separately.

Can I send the documents from DealerSlip?

DealerSlip downloads the PDF pack. Share it through your usual email or document-sharing process after reviewing it.

Does this replace my dealership's handover process?

No. This checklist covers practical checks around the DealerSlip invoice and its connected documents. Keep your existing vehicle, identity, payment and other handover checks.
