Invoice and receipt: different jobs

A sales invoice sets out the vehicle sale, charges and balance. A payment receipt records the payments entered against that sale. A deposit receipt does not necessarily mean the car has been paid for in full.

DealerSlip connects the receipt to the same vehicle and customer as the sales invoice. When you add a payment in the Payment step, the Payment receipt tab becomes available.

What to prepare for the receipt

  • The dealership and buyer. Use the same names and contact details as the sales invoice.
  • The vehicle. Make sure the registration and vehicle details identify the sale.
  • The invoice reference and date. Use a recognisable reference so the record is easy to match to your invoice.
  • A description for each payment. For example, “Deposit” or “Final balance”.
  • The amount and method. Record the confirmed amount and whether it was received by bank transfer, card, cash or another method.
  • The remaining balance. Review the sale total, any part-exchange credit, finance and payments together.

A deposit followed by a balance payment

Here is a straightforward sale with a £500 deposit. At this point, the receipt should show £500 received. The remaining £8,495 has not yet been recorded as paid.

Once you confirm the final bank transfer, add a second payment line. Keeping the deposit and final payment separate makes the record easier to understand.

Create a receipt in DealerSlip

  1. Enter the sale first. Complete the Vehicle, Buyer and Price steps so the payment belongs to a clearly identified deal.
  2. Open Payment. Add a payment with a description, amount and method.
  3. Add separate payment lines when needed. Keep a deposit and a later balance payment identifiable.
  4. Select Payment receipt. Review the customer, registration, recorded payments and remaining balance.
  5. Download the document pack. Keep a copy for your records and share the PDF through your usual process.

Check the money before recording it

Only add amounts you have confirmed as received. A promise to transfer money, a payment screenshot or an expected finance payment should not be entered as a received deposit just to bring the balance down.

DealerSlip does not connect to your bank or card terminal. It calculates from the values you enter, so check the receipt against your actual payment records before sharing it.

Keep finance and part exchange separate

The tool has separate fields for finance and part exchange. Use those for those parts of the deal, and use the payment lines for the payments you have received. Entering the same amount in both places would count it twice.

A zero balance can include a part-exchange credit or finance allocation. It does not, by itself, tell you that every part of the deal has settled in your bank account. Check each part through your normal process.

Common questions

Can I make a receipt for just a deposit?

Yes. Add the confirmed deposit as a payment. The receipt will show the payments you have entered and the balance remaining on the sale.

Why is the payment receipt tab unavailable?

Add a payment in the Payment step. The receipt tab is unavailable while there are no payment lines.

Does DealerSlip take payments or send the receipt?

No. You record payments in the tool and download the PDF. Collect payment and send the document using your own bank, payment provider and sharing method.
